Job Description

Purpose:

Under the general supervision of the Assistant/Administrative Director of Surgery and direct supervision of the Program Director of Surgery residency, with significant latitude for independent initiative and judgment once appropriate skill level is obtained, general administration of the Surgical residency program and research support to the Department of Surgery. Under the general supervision of the Director of Research.

Specific Duties and Responsibilities:

Surgery Residency Administrator:
• Administratively responsible for the smooth running of Residency program, working closely with the Program Director, DME and Administrative Director of Surgery.
• Responsible for all Residency schedules and distribution of same, including completion of the schedules on AMION.
• Ensure that all necessary paperwork (contracts, visas, credentialing paperwork, New Innovations modules, etc.) are in order for each Resident prior to start of the academic year.
• Monitor and electronically process all evaluations for Residents. Manage all electronic surveys, enter data into electronic database, etc.
• Coordinate all agency inspections, prepare all documents (with input from PD and DME), maintain a Residency manual, and policy and procedure manuals as required by regulatory agencies. Actively participate in these inspections.
• Using ERAS, screen applicants for Residency positions using pre-approved criteria provided by Program Director and/or DME. Schedule all interviews for prospective Residents. Prepare interview files.
• Submit NRMP rank order list for the Main Match.
• Upon selection of new Residents, process appropriate paperwork, collect all appropriate documents and verify for accuracy; generate contracts, following up to ensure all contracts are signed by all parties.
• Residents' files must be meticulously maintained according to regulatory agency rules and must be kept secure. Files will be retained in-house as long as space is available, then eventually stored offsite for decades. Requests for verification of training can come in years after a Resident's graduation from the SBH Program.
• Manage time and leave for all Residents, maintaining accurate records. Manage requests for time
• off to attend/present research at regional and/or national conferences. Manage the process for
• obtaining reimbursement for Residents.
• Provide information for Residents' rotations to other institutions. Gather evaluations of Residents from those institutions, sharing information with Program Director.
• Responsible for rotating residents in Surgery from other institutions (SUNY-Downstate), coordinating their schedules and integrating them into the Department of Surgery monthly schedules.
• Participate in and take minutes at all Clinical Competency Committee Meetings, Program Evaluation Meetings, and any other committee meetings, as necessary.
• If time and permission to attend do not present barriers, attendance at annual Residency Coordinator conference hosted by accrediting agencies is preferred so that information regarding new requirements is obtained and then adhered to.

Research coordinator:
• Provide guidance to the residents and faculty during the project development, protocol writing, IRB submission process and STAR submission process.
• Provide timely communication with all parties conducting research, serve as a liaison between BRANY IRB, STAR and surgical residents and Attendings.
• Keep a database of all resident/faculty led projects for the Department of Surgery and provide an oversight of their activities; monthly report to the Director of Research in regards to the status of all IRB-approved projects for the Department.

Minimum Qualifications
1. A Master's degree from an accredited college or university in Public Health, Public Administration, Business Administration, Social Work, Psychology or Rehabilitation Counseling; and
2. Two (2) years of full-time experience in medically-oriented health care and medical support systems environment, one (1) year of which included experience in an administrative or supervisory capacity in such occupations as physical, occupational, inhalation, speech and audiology therapy or as Medical/Laboratory Technologist, Microbiologist (various specialties), Chemist (biochemist), Radiation and X-Ray Technician; or two (2) years of responsible level experience in business management systems or general administration including one (1) year in a supervisory or administrative capacity; or
3. A Baccalaureate degree from an accredited college or university in disciplines listed in "1" above; and
4. Three (3) years of full-time experience, as described in "2" above, including two (2) years of experience in an administrative or supervisory capacity in occupations, as listed in "2" above; or
5. A satisfactory equivalent combination of education, training and/or experience.

Note: Certification or licensure may be required.
