Job Description

Purpose:

Under the general supervision of the Program Director, and Associate Executive Director, directs the daily operation ensuring smooth flow of planning, preparation, and execution of activities related to maintaining program accreditation, residency recruitment, resident and medical student education and wellness.

Specific Duties and Responsibilities:

The Coordinating Manager is charged with and responsible for:
1. The Residency Program Coordinator will provide overall administrative support for residency and fellowship trainees and medical students as follows:
• Maintains trainees and alumni files and online databases for accreditation purposes (ACGME, GME Track, FREIDA, Board certification) and post-graduate training verifications
2. Prepares and submits new hire demographic spreadsheet and copies of application packages to Human Resources Office
3. Works closely with Human Resources to properly coordinate resident OHS appointments
4. Arranges appropriate rotations for residents and medical students in conjunction with the Chairperson and Program Director
5. Prepares and coordinates material and resources for site visit reviews
6. Attends monthly Residency Coordinator meeting with GME Office Staff and other residency coordinators as needed
7. Coordinates didactic and grand rounds lectures; records and tracks trainees' conference attendance;
8. Manages and maintains all information in New Innovations including rotation schedules, evaluation distribution, goals and objectives, duty hours, etc.
9. May act as liaison with regulatory agencies, Dean's Office, Immigration Office and GME
10. Coordinates in-service exams; manages schedules, evaluations and goals and objectives
11. Coordinates new trainee orientation; organizes and coordinates all aspects of the recruitment process
12. Management of annual Residency interview season (September - January)
13. Preparation and submission of rank order list to the National Residency Matching Program (NRMP)
14. Prepares agendas, reports and minutes for PEC, CCC and other educational meetings
15. Coordinates educational activities including reserving conference rooms, ordering food, etc.
16. Assists in coordinating medical students' rotations
17. Works on special projects for the Program Director and AED
18. Additional duties as assigned/required.

Minimum Qualifications
1. A Master's degree from an accredited college or university in Public Health, Public Administration, Business Administration, Social Work, Psychology or Rehabilitation Counseling; and
2. Two (2) years of full-time experience in medically-oriented health care and medical support systems environment, one (1) year of which included experience in an administrative or supervisory capacity in such occupations as physical, occupational, inhalation, speech and audiology therapy or as Medical/Laboratory Technologist, Microbiologist (various specialties), Chemist (biochemist), Radiation and X-Ray Technician; or two (2) years of responsible level experience in business management systems or general administration including one (1) year in a supervisory or administrative capacity; or
3. A Baccalaureate degree from an accredited college or university in disciplines listed in "1" above; and
4. Three (3) years of full-time experience, as described in "2" above, including two (2) years of experience in an administrative or supervisory capacity in occupations, as listed in "2" above; or
5. A satisfactory equivalent combination of education, training and/or experience.

Note: Certification or licensure may be required.
