Job Description

PURPOSE OF POSITION:

This class of positions encompasses supervisory or administrative work of varying degrees of difficulty and with varying degrees of latitude for independent initiative and judgment as follows:
1. For activities of professional and non-professional staff in delivering a health therapy program and support services including physical, occupational, inhalation specialties, radiological, laboratory, emergency, ambulatory care services, medical utilization review and quality assurance.
2. Coordinates rehabilitation services, as indicated so as to integrate these programs with other health care setting programs to maximize patient treatment and recovery. Coordinates, supervises and monitors medical utilization review and/or quality assurance programs for health care settings.
3. For planning, controlling, coordinating administrative and office operations and interpreting compliance with predetermined standards for quality care in a variety of organizational settings and modalities in the delivery of business, office and management support systems. Integrates, coordinates these programs, operations, functions and services with other health care settings and Central Office departments to optimal levels of performance in the administration and supervision of such functional activities.

RESPONSIBILITIES:
1. Maintain calendar for Departmental Chair; Vice Chair; and other surgeons as needed.
2. Directly supervise administrative staff in the Department of Surgery, including managing schedules, time off requests, evaluation of staff.
3. Assists in the development of data reports in EPIC or the Department of Surgery
4. Assist in the planning and preparation of monthly Departmental Educational meetings, and conferences Supervise administrative support functions for the Department of Surgery.
5. Provide administrative support to the Chair; Vice Chair; and other surgeons of Surgery, including calendar management and special projects as assigned.
6. Provide administrative support for the Department of Surgery Education Programs
7. Coordinates 1) the Medical Student Clerkship, 2) the Touro Physician Assistant, 3) the Podiatry PA, and 4) assists with the General Surgery Residency program as needed.
8. Onboarding of Surgeons, PA's, NP's, Staff, and Medical Students
9. Liaison between the Department of Surgery Administration and other departments at Metropolitan Hospital.
10. Works with the Chair and Vice Chair to ensure all credentials are updated for faculty.
11. Coordinate paperwork for new hires and existing staff in the department, including physicians' licenses, DEA certification, delineation of privileges, facilitating scheduling of EPIC Training, Department Orientation and other compliance items.
12. Assists with facilitation and maintenance of credentialing documents for provider staff including licenses, DEA certifications, and delineation of privileges.
13. Process invoices and reimbursement requests for the department.
14. Manage OR, SPI, and other meeting minutes, processing and filing of departmental reports and management of departmental files.
15. Orders equipment and supplies for the department as needed; maintains department equipment through coordination with hospital Maintenance Department.
16. As needed schedules departmental meetings in person or via WebEx and maintains department calendar.
17. Other duties as assigned by the Chair of Surgery and occasionally by the Director of Service.

Minimum Qualifications
1. A Baccalaureate Degree from an accredited college or university in Public Health, Public Administration, Business Administration, Social Work, Psychology or Rehabilitation Counseling, and three years of full-time experience in medically-oriented health care and medical support systems environment, two years of which included experience in an administrative or supervisory capacity in such occupations as physical, occupational, inhalation, speech and audiology therapy or as Medical/Laboratory Technologist, Microbiologist (various specialties), Chemist (biochemist), Radiation and X-Ray Technician or three years of responsible level experience in business management systems or general administration including two years in a supervisory or administrative capacity.
2. A Master's Degree from an accredited college or university in the disciplines listed in (1), and two years of full-time experience as listed in (1), plus one year experience in an administrative or supervisory capacity in occupations as listed in (1); or,
3. A satisfactory equivalent combination of training, education and experience.
Note: Certification or licensure may be required.
