Job Summary

The Corporate Compliance Administrative Specialist directly supports the Corporate Compliance Office Senior Directors (Senior Director, HIPAA Program and Senior Director, Compliance Program Administration) and their respective program staff members. Duties are dedicated assignments from the Senior Directors and are within the scope and oversight of their respective programs. Specific duties and Responsibilities are set forth below.

What You'll Do

Administrative Support for Compliance Committee [20%]

Michigan Medicine Compliance Committee Administrative Support
  • Function as a Committee Liaison
  • Schedule Committee monthly meetings and prep meetings with Senior Director, Compliance Program Administration and Chief Compliance Officer.
  • Develop meeting agenda at direction of the Chief Compliance Officer, draft minutes, file and distribute accordingly.
  • Send email communication/s to Committee members and guest attendees.
  • Facilitate speakers' advance submission of meeting presentations/materials.
  • Set up/control/maintain meeting screen sharing tool(s) (e.g. Zoom, Teams, etc.).
  • Maintain meeting year to year summaries.
  • Maintain Committee membership list and track attendance/participation.

Administrative Support for Senior Directors and Respective Program Staff Members [ 30%]
  • Schedule meetings involving the Senior Director(s) and/or respective program area staff members, with other individuals (may be internal or external.) Meetings are primarily via Teams or Zoom but may be in-person and require conference room scheduling.
  • Answer and complete meeting attendance availability polls requiring Senior Director(s) and/or staff member(s) participation.
  • Confirm availability for meetings proposed by other individuals, both internal and external to the organization.
  • Manage the calendars of two Corporate Compliance Office Senior Directors to specified guidelines (e.g., over-crowding, re-schedule meetings, etc.)
  • Collect all associated meeting documentation and/or agenda's, place in the specific meeting appointment for Senior Director's preparation.
  • Assist in the development or managing of meeting documentation.
  • Review/revise/maintain standard operating procedures for responsibilities assigned.
  • Back-up for other Corporate Compliance Office administrative support key functions.

Document Processing/Tracking/Communication Administrative Responsibilities (assigned) [50%]

Processing of Business Agreements, DUA's, MOA's and Miscellaneous Agreements/Attestations

  • Review and prepare received and/or finalized Business Agreements, DUA, MOA and Attestations for Chief Compliance Officer's signature.
  • Processing of required signatures utilizing UM SignNow program.
  • Enter information into Jira.
  • File fully executed copies accordingly (electronically).
  • Send email communication(s) to the appropriate individual/s with partially or fully executed agreement copy.
  • Agreements partially executed will be monitored for receipt until fully executed copy has been received.
  • Collaborate with Procurement for agreements requiring monetary payments.

Identity Management and Access Processing/Tracking

  • Provide Level 1 or 2 access for external, non-Michigan Medicine individuals who are sponsored by Compliance.
  • Upload information into Identity Management system - ART tool.
  • Maintain master log for sponsored accounts.
  • Monitor account expiration dates, facilitate account renewals, and monitor Cornerstone eLearning training requirements completed.

FDR Attestations - Signature Processing and Tracking

  • Processing of required signatures utilizing UM SignNow and/or other electronic signature program (e.g., Adobe Sign, DocuSign, etc.).
  • Enter information into tracking system, including date submitted and supporting documentation.
  • File fully executed copies accordingly (electronically).
  • Route and/or Send email communication(s) to the appropriate individual/s with fully signed attestation.

CMS Institutional Open Payments

  • Maintain account (CMS) for Open Payments Institutional data.
  • Download General and Research data from CMS website (usually April - June)
  • Track all disputed and resolved claims.
  • Compile data and complete assigned responsibilities.

Exclusion from Federal Programs Sanction Check

  • Perform monthly and required exclusion from Federal Programs checks for individuals who currently serve on Michigan Medicine Board (when assigned).
  • Assist with the administrative functions of the exclusions checking processes at other system entities.

Conflicts of Interest

  • Respond to administrative-related questions regarding M-Inform System (for Conflict of Interest/Commitments for administrative/hospital non-UMMS staff disclosures)
  • Receive, respond, and track requests / issues requiring system adjustments / assistance with M-Inform system.
  • Assist with the administrative functions of mailing and tracking conflict of interest statements for any entities conducting COI outside of M-Inform.
  • Communicate with requestors if necessary.
  • Maintain appropriate logs.
  • Enter requests/activity into Compliance Office Tracking System.

Required Qualifications*

Compliance Administrative Specialist Intermediate:
  • Bachelor's degree or 3-5 years' similar work experience, or equivalent combination of education and work experience, and/or demonstrated performance with high level work quality & productivity.
  • Strong critical thinking, analytical and problem-solving skills.
  • Detail-oriented with excellent organizational skills and ability to manage multiple assignments.
  • Able to work independently with structured work assignments, under appropriate supervision, and able to recognize need for and seek appropriate guidance when handling issues/cases that may be more complex.

Corporate Compliance Administrative Specialist Senior:
  • Bachelor's degree or 5-8 years' similar work experience, or equivalent combination of education and work experience, and/or demonstrated performance with high level work quality & productivity.
  • Strong critical thinking, analytical and problem-solving skills.
  • Detail-oriented with excellent organizational skills and ability to manage multiple assignments.
  • Ability to work effectively with individuals at all levels and varying backgrounds both within and outside the organization.
  • Ability to work independently with minimal supervision.
  • Excellent organizational, written, and verbal skills, with the ability to quickly analyze issues and craft practical, business-oriented solutions.

Background Screening
