Responsibilities

JOB SUMMARY: Provides secretarial support for the CEO and other departments of the hospital. Completes general office duties and other related work assistance to the Administrative Department as instructed by the CEO. Takes and transcribes meeting minutes for the Medical Executive Committee, Governing Board, Department Managers, Environment of Care, and Infection Control Committee, and other meetings as requested. Organizes and prepares agendas and informational packets for members of the aforementioned meetings. Maintains meeting minutes and attachments in an organized manner. Types and updates all policies and procedures for the hospital and maintains policy and procedure manuals throughout the hospital. Types and maintains up-to-date policy indexes for policy manuals to ensure that policies are easily accessible and retrievable by staff members. Maintains an organized filing system of hospital contracts. Maintains a system to track contract renewal dates and acquires other documentation for contract files in order to meet JCAHO and other regulatory agency standards. Maintains CLGA/CAR log. Responsible for Hospital questionnaires. Functions as the supervisor for the Communications department and has 24/7 responsibility and oversight.

Qualifications

Education: High School diploma or equivalent. Formal secretarial school helpful.

Experience: Minimum of 3 to 5 years executive assistant and broad secretarial experience, preferably in a hospital setting. Typing, contracting, analytical, event planning experience required. Experience with office systems and equipment required. Word processing and advanced computer skills required.

Licensure/Certification: None

Knowledge: Good overall knowledge of general office systems and excellent organizational skills are essential. Word processing skills are required. Language and communication skills with hospital staff, physicians, community members, referral sources, and others is essential. Must be able to manage multiple tasks.
