Our client, a leading Investment Advisory Firm, is seeking a new Full-Time/Permanent Executive Assistant to support its Legal & Compliance Team. Candidates must have a minimum of 5+ years of applicable experience, ideally supporting a team within financial services (however, they are also open to industry and backgrounds!) and a Bachelor's degree is required. Ideal candidates should be exceedingly organized, great at multi-tasking, polished and professional, possess excellent interpersonal and communication skills (both verbal and written), strong decision-making abilities, attention to detail, and be a team player who can also work independently with little or no supervision. The ability to interact with colleagues at all levels in a fast-paced environment, often under pressure, while remaining flexible, proactive, resourceful and efficient, with high level of professionalism and confidentiality is crucial to succeeding in this role. This is a great firm with little to no turnover and a collaborative work culture.
- Salary depends on experience (80-90k base), plus BUILT IN paid overtime and discretionary bonus eligibility.
- Provide high-level executive administrative support to the Legal & Compliance Team
- Schedule and organize extensive internal and external meetings, conference/video calls, and appointments across various time zones; manage and maintain busy and ever-changing calendars
- Coordinate complex domestic and international travel arrangements and detailed itineraries
- Prepare, process, and submit expense reports using Concur
- Maintain and update various spreadsheets for the department
- Work closely with the other EAs throughout the different offices
- Interact with clients, vendors and service providers
- Assist with other projects and responsibilities at the team's discretion
- Screen and answer a high volume of incoming calls
- Set up and breakdown conference rooms and arrange meals and refreshments
- Minimum 5+ years in a similar role, financial company experience preferred
- College degree required, Bachelor's degree (B.A. or B.S.)
- Extremely organized and detail oriented
- Excellent interpersonal and communication skills (both verbal and written)
- Proactive and great at multi-tasking
- Strong decision-making ability
- Team player who can also work independently with little or no supervision
- Ability to interact with colleagues at all levels in a fast-pac3ed environment, often under pressure
- Flexible, polished, proactive, resourceful, and efficient
- High level of professionalism and confidentiality
