Responsibilities:

• Supporting a team of MD's, ED's and Associates located in San Francisco, as well as in New York. The position is based in our San Francisco offices (555 California Street, 14th floor) and is a full-time, on site, position (this position is not remote). This position works in partnership with another on-site Executive Assistant in San Francisco to cover the entire Expansion Capital team

• Coordinating travel schedules, arrangements and agendas in preparation for on-site and off-site meetings, conferences and events. Adept with working out travel logistics i.e. use of google maps to plan real travel time between mtgs, hotels and airport

• Submitting, maintaining and monitoring expense reports and check request

• Providing telephone coverage, including responding to inquiries, properly routing calls and taking detailed messages.

• Use of excellent judgment with both internal and external clients, management teams, portfolio companies and team support

• Managing highly sensitive information as it relates to firm and staff

• Maintaining managers' office calendars and scheduling

• Working with portfolio company management and executive assistants to plan Board meetings, other committee meetings, and onsite meetings; ensuring optimal scheduling based on calendars of MDs involved with portfolio companie

• Assisting with all portfolio needs, documentation wise, distributing weekly team meeting, portfolio review materials and other pitch decks or materials related to companie

• Back-up coverage for admin. colleague(s) during planned or unplanned absences from the office

• Helping to review and prioritize incoming mail and taking appropriate action. Performing related duties as assigned

• Ability to coordinate, and manage to completion, special projects as assigned

• Advanced experience in making domestic and in particular international travel arrangements including procuring visas (with assistance from Morgan Stanley travel desk), currency exchanges, arranging ground transportation through international hotel concierges (for both team members and senior advisors).

Qualifications:

• Prior administrative or related experience at executive level is essential

• Ability to work independently, and be relied on for judgment and good decision making to move administrative tasks forward

• Flexible attitude with the willingness to take on new project

• High integrity is critical

• Highly service-oriented individual with the ability to work well both as an individual contributor and as part of a team

• Highly trainable with ability to learn new, proprietary system

• Strong ability to manage multiple priorities and take independent initiative for action within areas of responsibility; Must work well with short deadlines and high priority deliverable

• Attention to detail is critical

• Travel management experience highly desired

• Financial Services experience preferred

• Excellent written, verbal and interpersonal communication skill

• College degree mandatory

• Proficiency with all Microsoft Office software

Wage Transparency Statement

Expected base pay rates for the role will be between $80,000 and $100,000 per year at the commencement of employment. However, base pay if hired will be determined on an individualized basis and is only part of the total compensation package, which, depending on the position, may also include commission earnings, incentive compensation, discretionary bonuses, other short and long-term incentive packages, and other Morgan Stanley sponsored benefit programs.
