Created in 1978 by the New Mexico Legislature, the Department of Cultural Affairs represents New Mexico's dedication to preserving and celebrating the cultural integrity and diversity of our state. The Department oversees a broad range of New Mexico's arts and cultural heritage agencies. These include 15 divisions representing a variety of programs and services.

Why does the job exist?

This position serves as an accounts payable generalist, processing requisitions, purchase orders, and payment vouchers. This position is also responsible for processing incoming mail and the mailing of outgoing payments as well as maintaining tracking spreadsheets, and other clerical duties. This position is also responsible for managing vehicles for the department.

How does it get done?

1. Facilitate agency payable/purchasing/travel activity: this involves creating and reviewing purchase related items including requisitions, vouchers, and invoices to ensure they are complete and correct. Ensure that sufficient budget authority in the appropriate category exists to complete accounts payable transactions.

2. General accounting/clerical: position will audit and process accounting entries according to State and Federal laws and regulations. Position will be responsible for monitoring accounting activity and preparing monthly and year end closing reconciliations and entries upon request. Position will prepare reports for management and audit purposes as requested.

3. Other administrative and financial support: support agency travel transactions, vehicle management, and manage incoming mail and outgoing mail like payments. Position will monitor shared email boxes to assist the Chief Procurement Officer (CPO) with incoming forms that require Chief Financial Officer, CPO, or other managers signatures, and other clerical duties as assigned.

This position serves the Department of Cultural Affairs Agency staff and contractors/suppliers doing business with the Department of Cultural Affairs.

1. Business or accounting related educational background.
2. Experience with the SHARE FINANCIAL system.
3. Experience with spreadsheets.
4. Demonstrated analytical and communication skills.
5. Excellent project and time management skills with the ability to work in a heavy volume environment with multiple and diverse groups of clients.
6. Self-motivated with a positive, professional, and flexible approach to their role.

Minimum Qualification

High School Diploma or Equivalency and two (2) years of experience in bookkeeping, accounting and/or finance. Substitutions Apply. See Substitution Table below.

Employment Requirements

Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course Certification as a condition of continued employment. Must possess and maintain a valid New Mexico Driver's License.

Working Conditions

Office setting, exposure to Visual/Video Display terminal (VDT) and extensive personal computer and telephone usage with extended periods of sitting. Lifting up to 25lbs, some standing and reaching required. Some travel within the state may be required.
