General Description:
To manage the Language, Arts, and Social Sciences (LASS) division front office operations and staff and to support the activities of the LASS Division Dean, Associate Dean, faculty, staff and students. This position supervises administrative assistants and clerical P-14 hires. This position works closely with HR and payroll in preparing hiring actions and other sensitive and complex administrative tasks for the Dean, Associate Dean, and LASS faculty. This employee must be proactive and work independently to maintain the office functionality and coordinate division services. This position reports directly to the Division Dean and facilitates purchasing and tracks budget.

Duties and Tasks:
  • The employee performs, supervises, and coordinates various administrative and business functions, and oversees an administrative team that is responsible for providing support services to students, faculty, and staff.
  • The employee serves as a resource on administrative policies and procedures, and independently executes complex administrative and leadership responsibilities.
  • The position is responsible for coordinating tasks, managing office workflow, and handling confidential and highly sensitive matters relating to personnel issues and performance evaluations.
  • The employee supports the Division Dean in oversight of M&O budget, adjunct and full-time salary costs, and other accounts while tracking all Division expenditures and faculty workloads.
  • This position supports the work of several units engaged in a variety of interrelated administrative and clerical functions in support of the LASS Division, its departments and its programs.
  • The employee serves as a resource person on administrative policies and procedures, and independently executes complex administrative and leadership responsibilities.

  • Skill in operating office equipment including automated equipment such as printers, as required to carry out work responsibilities.
  • Demonstrated ability to supervise and organize work, compose correspondence and prepare reports.
  • Ability to interpret, explain, and apply a variety of rules, regulations, and standards.
Minimum Qualifications:
  • Experience supervising employees and overseeing staff.
  • Experience balancing and forecasting budgets.
  • Experience with Microsoft Teams and the Office suite, specifically Word, PowerPoint, and Excel.
  • Experience handling sensitive personnel information and documents.
  • Experience with scheduling and enrollment portals (e.g., SIS).
  • Experience submitting and processing expenses for travel and materials (e.g., eVA, Chrome River, etc.).
