NON-COMPETITIVE MINIMUM QUALIFICATIONS:

Three years of experience performing clerical, keyboarding, or paraprofessional work in an office environment.

COMPETITIVE MINIMUM QUALIFICATIONS:

You must be reachable for appointment the current Civil Service eligible list used for filling this title.

REASSIGNMENT QUALIFICATIONS:

On or before January 13, 2024, you must be a qualified employee of New York State and have had 45 days of permanent competitive, non-competitive, or 55-b/55-c service in an office assistant, clerical, keyboarding, or paraprofessional*** title allocated to Grade 6 or higher.

***Only paraprofessional titles in an office environment will be considered qualifying. Service in a direct care title is NOT qualifying. Examples of NON-qualifying titles are: Developmental Disabilities Secure Care Treatment Aide 1, Direct Support Assistant, Licensed Practical Nurse, Mental Health Therapy Aide, and Security Services Assistant.

If you were permanently appointed to a qualifying title on or before November 29, 2023, and have served continuously in this title since that date, you are eligible to file for this examination.

Qualifying Experience For Appointment From The Eligible List: After one year of service described in the Minimum Qualifications, successful candidates will be qualified for appointment from the eligible list.

Additional Requirements for Appointment:
1.Background Investigation/Justice Center Review: In some agencies, the names of all prospective employees will:
• be checked against the Staff Exclusion List (SEL), maintained by the Justice Center for the Protection of People with Special Needs. Prospective employees whose names appear on the SEL as having been found responsible for serious or repeated acts of abuse or neglect will be barred from appointment and may have their names removed from the eligible list(s) for the title(s);
• be investigated through a Criminal Background Check (CBC). You must report all convictions. Conviction of a felony or misdemeanor or any falsified or omitted information may bar appointment or result in removal after appointment. Each case will be determined on its own merits, consistent with the applicable provisions of state and federal law;
And may:
• be screened against the Statewide Central Register of Child Abuse and Maltreatment (SCR). Prospective employees whose names appear on the SCR may be barred from appointment.
You are responsible for payment of all required fees.
2.Language Proficiency: If you pass the examination and apply to a title which requires language proficiency, you must demonstrate your language proficiency at a level that will ensure your ability to perform the duties of the position properly. The proficiency test will only be given to enough candidates to fill current vacancies.
3.Medicaid and Medicare: To be eligible for appointment and maintain employment, you cannot be listed as an excluded individual or entity on any of the Federal and/or State Medicaid and Medicare exclusion lists (or excluded from any other Federal or Federally assisted program). You may be barred from appointment, or your employment may be terminated at any time if you are listed as an excluded individual or entity on any of these lists (or excluded from any other Federal or Federally assisted program).

Duties Description • Monitor, process orders and secure supplies for office staff and office equipment.
• Track dates for servicing of any equipment, prepares schedules, organizing IDT meetings, organize documents for interviews, meetings, and trainings.
• Communicates various messages (written and verbal) in and out of directors' office to ensure flow of information.
• Secure office documents confidentially, generate minutes to meetings, present materials electronically as needed, monitor projects specific to the function of service delivery in the community residence and direct the public to appropriate staff member.
• The incumbent will also be tasked with preparing reports as well as track and provide proof of any necessary follow ups needed by the Director of Residential Services.
• Deliver programmatic documents to other dept heads requiring review and signatures.
• Create, monitor, and evaluate data tools and draft reports, inclusive or excel, SharePoint, various databases, TEAMS, etc.
• Track and monitor various internal controls inclusive but not limited to work orders, SOD/POCAs, Probationary and Annual Evaluations, Observed Fire Drills, TTL audits, etc.
• Prepare materials and presentations for quarterly management meetings and impromptu trainings.
• Capable to learn and master electronic systems, i.e. EHR, SharePoint, Outlook, Excel, Word, Power Point.
• Work collaboratively with residential managers and Central Office staff to manage the DDSO's Personal Protective Equipment protocols for the BDDSOO work force.

NY HELPS
This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). HELPS Program titles may be filled via a non-competitive appointment. This means that you do not need to take an exam to qualify, but you do need to meet the minimum qualifications of the title.

At a future date (within one year of permanent appointment), employees hired under NY HELPS are expected to have their permanent non-competitive employment status converted to permanent competitive status. You will not have to take an exam to gain permanent competitive status.
