Job Description:
Responsible for the development, management, and transmittal of contract and grant proposals to federal, state, and private funding agencies. Works as a liaison for Florida Sea Grant faculty and staff and the Division of Sponsored Research for pre-award actions. Reviews contract and grant program announcements for compliance with sponsor and University terms and regulations, and reviews term outlining the negotiation and acceptance of resulting grant awards. Proposal submission includes review of, formatting and uploading documents, budget preparation, entry and routing of proposals in UFIRST or other applicable submission modules, and coordinating all aspects of the proposal submission to insure thorough and timely submission to the Division of Sponsored Research for review and submission to the funding agency. Monitor grant progress and compliance with internal and agency documentation requests.
Responsible for post-award management of grants and contracts. Responsible for completion of information and collection of needed documentation required on behalf of FSG required for UFIRST Awards module set up. Award set up includes but is not limited to: associated subproject set up, associated sub-award agreement set-up, establishment of needed effort commitments for key personnel, and set up of F&A Center designations. Initiates NOA review and payroll distributions per the award budget. Provides accounts payable support and control for sponsored projects. This includes but is not limited to: providing transaction approvals to the FSG fiscal team in compliance with the rules and regulations outlined by the funding agency and the University through marketplace and UFGO, facilitating no cost extensions and carry-forward requests, assisting with CAS exemption requests, initiating requests for budget/cost transfers, facilitate close outs, and monitor cost sharing requirements. Processes transactions necessary for the ongoing work of the awards: processing journal entries, travel expense reports, and purchasing requests. Reviews and reconciles awards monthly to ensure payroll and operating expenses are being paid according to grant/contract budget and agency guidelines. Meets with the PIs as requested to review report data and address questions or concerns. Assists faculty with agency progress and final reports. Oversees sub-award invoice certifications by faculty. Provides contract and grant information within our department and outside of our department for semester faculty activity reports and effort reporting. Assists with monitoring of IRB and IACUC documentation and deadlines. Provides contract and grant associated information for Tenure and Promotion and annual evaluation packets.
W ork closely with the Communications team to provide award information, and accomplishments were noted. Provides assistance to the Assistant Director of Fiscal Operations with reporting requests or other special project endeavors as requested. Projects include but are not limited to: creating ad-hoc reports used for FSG admin and maintaining agency and sponsor specific proposal document library.

Minimum Requirements:
RA I: Bachelor's degree or equivalent
RA II: Bachelor's degree and two years of experience in grant and contract administration; or an equivalent combination of education and experience.

- Experience in providing customer service to funded stakeholders, students, and faculty; supervisors; and institutional offices and administrators.
- Experience working well in a team environment. Experience in taking ownership of the resolution of problems, being flexible and accountable, managing conflicting responsibilities, prioritizing tasks, and consistently meeting deadlines.
- Self-motivated and ability to work independently.
- Experience with MYUFL, Microsoft Office programs, UFIRST, MYINVESTIGATOR, fund accounting, UFGO, marketplace and/or Human Resource Services.
- Experience with federal funding systems such as eRA Commons (NIH and NOAA).
- Confidence in ability to manage the program area of responsibility.
- Strong Pre and Post award experience.
- Strong interest in Coastal and Marine Sciences
