Provide and perform secretarial, clerical and administrative support services for the Vice-President of Patient Services/Chief Nursing Officer (CNO) and management team.

Minimum of three years secretarial experience.
Education
High School diploma Associate degree in Business/Secretarial or related field preferred
Specialized Knowledge and Skills
Proficiency in Microsoft Word, Excel and PowerPoint Typing speed of 60 words per minute. Excellent verbal and communication skills, Ability to multi-task and provide excellent follow up. Basic filing and organizational skills Must be able to work independently and prioritize workload.

General Purpose of Job:

- Establishes and maintains filing systems to facilitate immediate retrieval. Maintains security of the following confidential information: Human Resources files, information concerning department affairs, confidential letters, and other documents.
- Manages the CNO's written communication.
- Coordinates department and committee activities, including: scheduling meetings, attending meetings to take minutes, transcribing minutes, and compiling and mailing pre-meeting packets.
- Maintains an efficient flow of correspondence and other materials relative to department business; sort and file correspondence, articles, records, and other documents; draft letters, memos, meeting minutes and reports for approval by CNO.
- Maintains forms and systems to increase department efficiency and/or productivity; analyzes, revises, or designs new forms or systems.
- Maintains databases and generates reports as required.
- Attends in-service and other required meetings.
- Makes travel arrangements for out of town conferences for staff.
- Works with all supervisory Associates to assist in keeping procedure manuals current.
- Maintains database and files of Associates' clinical license, CPR, auto insurance, and driver's license. Notify Associates when updated or renewed license is required.
- Organizes and supervises Volunteer Services.
