Administrative Assistant and Front Desk Lead

The University of Tennessee's Career Gateway is looking to fill the temporary assignment of Administrative Assistant and Front Desk Lead with College of Music. Pay Rate: $15.00/hour

Schedule: Monday - Friday 8-5

Job Length: Approximately 2 months

Job Duties:

  • Assisting the Academic Affairs team in Banner with course registration errors, updating academic profiles (i.e. majors, minors, advisors), changing the maximum number of credit hours (i.e. an overload), pulling course rosters, pulling GPA information, and, sometimes, force-adding students into course after the Add-Drop deadline
  • Organizing and leading parking needs for the College, guest parking reservations
  • Reviewing room reservation requests from the Event Registration Form and translating the key information into the 25 Live scheduling system
  • Supervising student workers (both College of Music and Federal Work Study) at the front desk on key projects, answering the phone, checking out keys, removing outdated posters from bulletin board, and guiding individuals to the QR code at the front desk
  • Ordering keys through the Lock & Key website for employees and students
  • Reporting maintenance and housekeeping concerns to One-Call Maintenance
  • Submitting the meter reading from our copier machines to Convenience Copier Program every month
  • Ordering supplies through IRIS for employees once the financial team has approved their request
  • Sending key communication to the undergraduate student body listserv (COM-UG)
  • Reconciling the monthly ledgers in IRIS for the Financial team
  • Providing mailing and copier assistance in the workroom
  • Assisting the Associate Dean of Research & Facilities with facilities-related projects

Qualifications:

Education:

Required: High School Diploma

Preferred: Bachelor's Degree

Experience:

Required: 1 year

Preferred: Experience with Banner, Argos, IRIS, and Archibus
