Responsibilities

The Controller's Office offers career ladders for many of our positions which allow tenured employees promotional opportunities within their job. The successful candidate will be hired at the most appropriate level of Accounts Payable Specialist level I through IV, based on education and experience.

This position is responsible for performing general disbursement-related responsibilities with a focus on processing payments, reviewing exceptions, and supporting university-wide disbursement-related activities.

Examines, investigates, and validates basic eSettlement exceptions weekly. Analyzes and builds information based on query results to take corrective actions for all University voucher transactions. Provides preventive recommendations to reduce recurring exceptions.

Validates and coordinates voucher spreadsheet uploads for Disbursement Services, which includes the creation of basic cXML spreadsheet files.

Elevates non-standard questions, discrepancies, and issues through senior team members or management for resolution.

Processes basic wire payments. Verifies supporting documentation are consistent with the University's payment request process and follows the appropriate application of Florida Statutes and Florida State University policy.

Reconciles basic employee cash advances; ensures cash advances are in compliance with the initial application/fund request and works closely with departments to take corrective actions. Provides additional support with disbursement-related services to include both Accounts Payable and Travel Services; analyzes AP automation and payment efficiency throughout University bill-paying sites.

Acts as a liaison to resolve issues between vendor, departmental representatives, and Procurement to ensure prompt payment. Participates in basic development, testing, and training needs for Disbursement Services along with ERP.

Qualifications

Bachelor's degree and two years of experience; or a high school diploma or equivalent and six years of experience. (Note: a combination of post high school education and experience equal to six years.)

Candidates with additional years of related experience will be considered for Accounts Payable Specialist roles level II- IV. Each level requires an additional two years of related experience.

Anticipated Salary Range

The anticipated starting salary for this position is in the mid $40,000's, commensurate with experience and education.
