HERE'S WHAT YOU NEED:
High school diploma or GED; five years of experience in increasingly responsible administrative support work, including clerical and/or direct customer service; or equivalent combination of training and experience. Extensive knowledge of office management, general clerical practices, and procedures. Highly proficient in use of computer and software programs such as Microsoft Word, SharePoint, Excel. Ability to input, process and maintain data in electronic client case management system. Ability to communicate effectively, both orally and in writing; to establish and maintain effective relationships with diverse individuals; to work independently and make decisions. Ability to exercise good judgement, tactfulness, diplomacy and maintain confidentiality as this position has access to critical and sensitive information. Possess exceptional interpersonal, customer service, and organizational skills. Ability to maintain constant flexibility and work under pressure.

Current valid driver's license and good driving record required. Based on the Virginia DMV point system, record must not reflect a total of six or more demerit points within the twenty-four months preceding the anticipated hire date, or one major violation of six demerit points within the preceding thirty-six months. Out of state driving records must be obtained by applicant and presented at time of interview. Records must reflect at least three years of history and be dated within thirty days of interview date.Pre-employment drug testing, FBI criminal background check and education/degree verification required.

WHAT YOU DO AND HOW YOU DO IT:
The Chesterfield-Colonial Heights Department of Social Services is seeking an experienced Administrative Assistant who will be responsible for providing support services to the Children Services Act (CSA) office. This position develops, process, and provides oversight of the program's purchase orders for private vendors; extract, review, analyze statistical, financial, and special reports; and provide overall administrative support for the program.

This position's responsibilities include:
  • Effective communication with various teams to meet administrative functions
  • Accurate and detailed oriented work to develop and process high volume of purchase orders and invoices with multiple service codes.
  • Knowledge of program requirements to enforce program compliance with vendors.
  • Knowledge of Medicaid eligible services and other third-party insurance eligible services.
  • Maintaining and managing electronic client case files.
  • Develop and utilize spread sheets for data tracking and program reporting
  • Data entry into electronic client case management system.
  • Perform other work as required.
