The University of Tennessee Foundation, Inc (UTFI) invites applications and nominations to fill the position of Advancement Assistant III for the Haslam College of Business (HCB) at the University of Tennessee, Knoxville. Reporting to the Senior Director of Operations, the Advancement Assistant III is responsible for supporting the operations of the HCB advancement office and coordinating the efforts of advancement staff as they work with the Dean, department heads, program directors, and faculty of the Haslam College of Business to raise private gift dollars from alumni, other constituents, corporations and foundations.

The Advancement Assistant III will make significant contributions to the advancement/development process by

coordinating various donor related meetings, setting appointments for advancement team members, and communicating with donors and prospects. Job responsibilities include, but are not limited to:

Administrative: Serve as primary point of contact for donors, prospects, and visitors via phone, email, and in-person. Manage calendars and schedule appointments for advancement team members.. Oversee processing of invoices for the advancement office, including monthly reconciliation of departmental ledgers. Coordinate mailings such as donor acknowledgements, event invitations, etc. Represent the advancement office in a professional way through in person, email, and phone interactions.

Event Management & Travel: Assist advancement staff and Dean's office with Advisory Council and Young Alumni Board meetings as well as alumni events. Plan HCB scholarship luncheons. Coordinate travel including pre- and post-trip reporting, expenses, and logistics.

Data Processing: Implement changes in alumni/donor/ friend/prospect records to include updates in demographic and biographical information such as address changes, contact records, salutations, etc. Utilize development CRM (Salesforce) to generate reports such as giving summaries, contact prospect report, prospect assignments, etc.

Qualifications:

Required Education and Experience

The candidate who fills the Advancement Assistant III position is required to have:

  • High school diploma with 3-4 years office experience or business/technical school graduate with 1-2 years office experience
  • Customer service or relevant experience
  • Excellent interpersonal skills and attention to detail
  • Experience with Microsoft Office software


Preferred Education and Experience

In addition to meeting the required qualifications, the preferred candidate will have:

  • Event/meeting coordination and planning experience
  • Ability to work in a fast-paced, team- oriented environment with minimal supervision
