Job Summary:
The Center for Dairy Research (CDR) is seeking a dynamic administrative professional to support a growing innovative unit on the UW-Madison campus. Housed in a new, state-of-the-art facility in Babcock Hall, CDR is the largest dairy foods research program in the US. The Center has over 60 full-time staff, supports graduate and undergraduate research, and provides technical and training support services to over 100 dairy companies. As the newest addition to the team, the administrative assistant will support the foundational operations of the center. This includes welcoming and guiding guests, sending and collecting mail and packages, supporting conference registrations and travel arrangements, coordinating recruitment and onboarding activities, assisting with purchasing and other financial transactions and reconciliations, and serving as support to the administrative team, and center leadership.

Responsibilities: Provides administrative support for a department, group of professionals, or to the manager of a work group consisting of professional staff and subordinate supervisors in support of unit goals, under general supervision
  • 30% Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
  • 20% Serves as a first point of contact for individuals and groups, provides basic organizational information via phone, in person and through other communication mediums, and routes more complex inquiries to the appropriate entities
  • 10% Collects, analyzes, and prepares various communication materials from established sources utilizing technology mediums
  • 10% Sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures under general supervision
  • 10% Maintains established methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures
  • 20% Assists with financial matters including purchasing and maintaining supplies, as well as preparing financial transactions and reports.

Qualifications:
Required:
-Relevant experience in an administrative or program support role that required excellent organizational skills
-Proven ability to manage and prioritize multiple, concurrent projects in a fast-paced environment
-Proficiency in Microsoft Office applications, especially Outlook and Excel

Preferred:
-Excellent communication and interpersonal skills
-Experience with with complex organizational and state policies and procedures
-Experience specific to recruitment, purchasing, travel, and/or financial reporting
-Experience planning and executing meetings and events
Work Schedule:
Work hours will be M-F 8:00am-4:30pm

It is anticipated this position requires work be performed in-person, onsite, at a designated campus work location.
