The Program Coordinator will provide administrative and program support for the Department of Campus Life and Enrichment and the Assistant Provost- Student Affairs. The Program Coordinator works collaboratively and effectively with project stakeholders, to ensure successful completion of projects on time, within budget, and within scope. Assisting with oversight of all aspects of program support and projects from creative development/design, planning, execution, monitoring, risk-management, and closure with campus and external community partners.

Essential Functions:
  • Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson.
  • Manage the revision, updates, accessibility, and relevancy of information on web-based marketing and communication medium, including internal learning and management systems.
  • Coordinate efforts and plans for technological direction of Student Affairs/ Department of Campus Life and Enrichment, including participation in researching, vetting, and maintaining digital support tools utilized to enhance student support services.
  • Direct the tracking, implementation, and evaluation of strategic planning arranged by the Assistant Provost, including check points and project updates from team members and campus partners. Report updates to the Assistant Provost and committees as needed.
  • Coordinate events, meetings, committee, and initiative logistics for the department including program scheduling, reservations, catering, other hospitality needs
  • Supports CLE and OSLE student processes including:
  • Co-coordination of University Orientation pre-matriculation requirements including but not limited to, processing reports, managing holds, sending communications.
  • Assist with major student event planning and implementation such as Leadership Live, Orientation, and Student Engagement experiences.
  • Communicate with campus partners as it pertains to student conduct and exemption matters
  • Lead data collection initiatives, including management of staff and student surveys, feedback, analysis, and report creation
  • Research, organize, analyze data needed for leadership and engagement forecasting and planning
  • Support the development, implementation and evaluation of student leadership and engagement curriculum and inclusion initiatives
  • Coordinate committee meetings, including note taking, analysis, and project awareness and tracking
  • Manage communication with community partners and vendors seeking partnership within Student Affairs
  • Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson.
  • Serve as a first point of contact Student Affairs and the Department of Campus Life and Enrichment, by addressing phone and email inquiries, and establishing priority for addressing the needs of students and other constituent.
  • Coordinates fiscal management of the Assistant Provost budget by addressing financial approvals for purchasing, including processing requests for payment, communication with vendors, following up on payment status, payment reconciliation, and maintaining records and database of expenditures and the budgets of each office reporting to the Assistant Provost.
  • Manage Timekeeping responsibilities.
  • Manages the ordering, maintenance, and inventory of all general office supplies and materials.
  • Perform selected duties as assigned.


Qualifications

Minimum Education and Experience Requirements:
Education:

Includes High School Diploma or GED, Bachelor's Degree or Master's Degree (Specify field). Also includes Schools like Medical Assistant, etc. NO listings like Bachelor's degree or relevant experience.

Experience:
  • Only years of experience in a particular setting, e.g. "5 years of experience in a doctor's office required."
  • Minimum of 2 years' experience in planning and operations support.
  • Project management is a plus. Demonstrated background in Data, learning, and website management.
  • Candidate should have proficiency in budgeting models, customer service, and administrative coordination.


Conditions of Employment
