Project Coordinator - Talent & Recruiting

  • Location : Onsite in San Antonio, TX
  • Schedule : Monday-Friday 40 hours
  • Contract : 6-month contract


Summary :

We are looking for a committed team member to provide high-level support to the business strategy planning team. This position is crucial in assisting the organization with talent acquisition, recruiting, and worksite management. The role involves close collaboration with University Relations and management to make the organization a top destination for talent. The ideal candidate should be highly motivated, able to work independently, and eager to learn.

Overview:
  • Coordination and Administration:Act as the liaison between HR, IT Managers, and Intern Program/Project Managers, supporting coordination, reporting, and administrative tasks throughout the program lifecycle.
  • Project Coordination:Monitor intern activities, mentor updates, executive talks, and other program elements. Generate reports on various activities such as manager reminders, interview setups, application statuses, and intern selections.
  • Application Management:Track candidate applications, ensuring HR handles upstream processes and focusing on candidates who have passed assessments. Update and enter information in Salesforce, including adding resumes to candidate profiles.
  • Communication and Tracking:Manage communications between hiring managers and the program, track manager notes, and enforce deadlines.Assign and verify work locations for candidates, track candidate acceptance statuses, and facilitate project reassignment requests.
  • Recruitment and Onboarding:Ensure every candidate is interviewed by two people and manage document uploads, report creation, and selection processes. Support recruiting seasons (Fall or Spring), track intern experiences, and assist in converting interns to full-time employees.


Qualifications:
  • Ability to build relationships and interact with internal stakeholders.
  • Adding candidate pool data and resumes to Salesforce using bulk upload.
  • Managing the candidate interview cycle requests
  • Updating candidate status throughout the recruitment cycle
  • Managing communications between the hiring managers and the program
  • Working knowledge of project and program management processes
  • Cross-business collaboration and partnership
  • Operational activities include routine creation, meeting facilitation, project management and process improvement.
  • Experience in data storage.
  • Excellent written and verbal communication Skills
  • Detail-orientated mindset.


Nice to Have Skills:
  • Familiar with software tools such as Salesforce.
