Summary

The Department of Molecular Virology & Microbiology at Baylor College of Medicine seeks a Senior Coordinator, Business Operations to provide essential administrative support. This role primarily involves managing Human Resources activities but may also include overseeing travel arrangements and purchase orders. We're looking for a dependable, professional individual who can work independently and collaboratively with a proactive approach.

Job Duties

  • Submits new positions, salary changes, and other personnel transactions via SuccessFactors.
  • Collaborates with recruitment liaisons and hiring managers to determine appropriate salaries for new hires.
  • Tracks open positions, applicants, and new hire start dates and maintain department personnel files.
  • Coordinates visa requests for new and current employees with the International Services Office.
  • Ensures promotions, merit adjustments, and equity considerations align with funding availability.
  • Addresses performance concerns and disciplinary actions in collaboration with hiring managers.
  • Processes and maintains postdoctoral appointments.
  • Communicates exit checklists to terminating employees.
  • Assists with timekeeping for hourly and part-time personnel.
  • Creates Sponsored Guest Accounts for visitors and temp employees.
  • May assist with purchasing using the Procure-To-Pay tool (Jaggaer).
  • May assist with travel reimbursements via Concur.
  • Maintains the department website and email distribution lists.
  • Serves as the Effort Reporting Coordinator, managing outstanding reports and ERS inquiries.
  • Manages PEPT entries for new and vacant positions.
  • Acts as the main point of contact for employee compliance items and trainings.
  • Performs other job-related duties as assigned.


Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.


Preferred Qualifications

  • Proficiency in Microsoft Office Suite. (Excel, Outlook, Teams)
  • Experience using SuccessFactors software.
