Summary

Temple, TX - The Senior Coordinator, Business Operations supports the mission of the Office of Student Affairs (OSA) in Temple by providing business support for office operations and medical students, including coordinating financial and business processes with other team members, and liaising with central departments.

This position also provides administrative support to the Senior Manager, department dean, and office team. A successful candidate will have the ability to maintain positive working relationships with faculty, students, peers, and learners. Must be a self-motivated, self-initiator who is organized, detail oriented, and able to multitask. In addition, they will demonstrate excellent networking, relationship, and conversational skills.

Job Duties

  • Assists the team with the day-to-day operations of the Student Affairs Temple campus office including but not limited maintaining and routing incoming calls, maintain incoming email communications, and general office support.
  • Oversees the business and financial processes for the department and communicate updates with both the Senior Manager and Senior Program Management Associate.
  • Partners with Senior Coordinator, Business Operations Houston campus regarding policies, procedures, and processes to ensure Temple and Houston campus business operations are cohesive and align with Student Affairs mission and School of Medicine priorities.
  • Coordinates with staff on purchasing and contract support, reviewing area funding source expenditures to verify accuracy, provide guidance on funding needs, and help maintain compliance.
  • Manages and tracks reimbursements, check requests, purchase orders, journal vouchers, and student reimbursements for the office.
  • Manages all student reimbursements for student organizations, events, and general purchases in order to provide updates on expenditures for reporting.
  • Works with Senior Manager and Senior Program Management Associate on processing and analyzing monthly reports to monitor spending on all OSA accounts.
  • May coordinate department meetings, events, retreats, and other functions.
  • Maintains a working knowledge of student policies and procedures.
  • Tracks student compliance and follows up with non-compliant students (attestations, consents, trainings, vaccinations, etc.) and connect with Houston team regarding any changes or updates to processes.
  • Processes, tracks, and follows-up to completion for medical student on-boarding and training requirements in conjunction with affiliated institutions and connect with Houston team regarding any changes or updates to processes.
  • Processes/tracks medical student leave of absences (LOAs) and other change of status procedures and partner with Senior Coordinator, Business Operations Houston campus regarding changes or updates to the process and service as a backup administration for the Office of Student Affairs.
  • Manages Non-Credit Introduction to Clinical Experience Research (NICER) process for Temple-specific activities and partner with Senior Coordinator, Business Operations Houston campus regarding changes or updates to the process and service as a backup administration for the Office of Student Affairs.
  • May provide additional support to faculty as needed (e.g. scheduling meetings, travel arrangements).
  • Works with Senior Manager on processing and analyzing monthly reports to monitor spending on all OSA accounts.
  • Works with Senior Manager on organizing and reporting all account updates (spreadsheet management) and other data to support forecasting and strategic planning exercises.
  • Provides administrative and logistical support to all Student Affairs office events (Orientation, Family Day, White Coat Ceremony, Match Day, Graduation, etc.). Support Houston campus as needed.
  • Participates in training for cross coverage.
  • Performs other job-related duties as assigned by the Senior Manager and Student Affairs Deans.


Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.


Preferred Qualifications

  • Bachelor's degree.
  • Proficiency in Microsoft Office 365.
  • Excellent written and verbal communication skills.
