GENERAL DESCRIPTION

Our mission at the Texas Department of Motor Vehicles (TxDMV) is to serve, protect and advance the citizens and industries in the state with quality motor vehicle related services. We are a dynamic state agency dedicated to customer service, consumer protection and the success of motor vehicle-related industries.

Performs advanced (senior-level) administrative and consultative assistance work for all sections within the Operations department of the Finance and Operations Division. Work involves planning, developing, and implementing facility project activities, consultative services, administrative activities, reporting, and overseeing procurements and contracts. May serve as project lead providing direction to others. Works under minimal supervision, with considerable latitude for the use of initiative and independent judgment.

ESSENTIAL DUTIES

Provides administrative support in an office and maintains a close and highly responsive relationship to the day-to-day activities of managers and staff.

Assists planning, scheduling, and administering meetings, workshops, trainings, and/or technical support and assistance in program or project areas and prepares various types of correspondence and administrative technical reports.

Answers phones, evaluates requests, answers questions and routes messages and screens visitors. Schedules meetings, appointments, trainings and may make travel arrangements. Maintains calendars for directors and managers. Attends meetings and prepares agendas and reports/minutes.

Utilizes facility work order systems to coordinate and schedule with the facility managers to assign maintenance/facility requests to maintenance team members or vendors.

Validates and processes invoices for payment and closes out work orders.

Assists with coordination and monitoring of processing, issuing, and control of assigned building identification cards, parking permits for vendors and contractors.

Assists with performing property and safety related site visits, investigates employee accidents, prepares reports, and maintains records.

Researches technical and policy issues and assists in organizing, coordinating, and preparing written and other statistical reports and documents. Composes and prepares correspondence and applicable recurring or special one-time reports requiring an understanding of technical matters and/or confidential/sensitive communications.

Compiles and evaluates statistical data, interprets results, and assists in developing and recommending solutions/methods to increase productivity/efficiency and/or to streamline operations.

Performs administrative work to include maintenance of building lobby directories, maintenance of supply closet, reservation and scheduling meetings for management, and lost/found notifications.

May oversee vendor service providers performing work and liaison with other vendors.

May serve as a project leader.

Monitors work unit contracts and purchase orders for goods and services and assists in inspecting completed jobs for quality control.

Travels up to 5% of the time. Travels by car (may include flying). May include overnight travel. May require working extended hours and some evenings and weekends, as needed.

Required to attend work regularly and adhere to approved work hours in accordance with department policies and procedures.

Performs other duties as assigned.

PHYSICAL/WORKING CONDITIONS

Required to work Monday-Friday, 8 hours a day, 40 hours a week, on-site at Headquarters location in Austin, Texas.

Must be physically able to operate a motor vehicle.



Qualifications:

MINIMUM REQUIREMENTS

Graduation from high school or equivalent plus three (3) years' experience in office administrative operations with experience in one or more of the following areas: Project management tracking, facilities maintenance scheduling, or business analysis.

Preferred Requirements

Bachelor's degree in business or public administration, management, or communications.

PHYSICAL/WORKING CONDITIONS

  • Required to work Monday-Friday, 8 hours a day, 40 hours a week, on-site at Headquarters location in Austin, Texas.
  • Required to perform manual labor including, lifting supplies and materials up to 50 pounds and standing or sitting for prolonged periods of time.
  • Required to operate State vehicles (automobiles, vans, trucks, box trucks, golf carts, etc.) traveling up to 5%, generally in the Austin and surrounding areas during routine working hours with occasional out-of-town and/or over-night travel.
  • Work is performed both inside and outside. When inside, employees are exposed to normal office temperatures and noise. When outside, employees may be required to work and be exposed to seasonal inclement weather. Work typically involves standing, walking and working with office and mail machines for extended periods of time. Lifting, carrying and moving of equipment and materials that weigh up to 50 pounds is required and employees must have the ability to perform fieldwork that may sometimes involve walking moderate distances and exposure to potential hazards (heat, rain, insects, etc.)
  • May be required to perform duties in support of national emergencies and/or disasters to include holidays, evenings and weekends on occasion.
  • Non-smoking environment in State buildings and vehicles.
  • To perform this job successfully, an individual must be able to perform each essential job duty satisfactorily and comply with the Physical/Working Conditions with or without an accommodation.


REGISTRATION, CERTIFICATION AND/OR LICENSURE

A valid Class "C" driver's license is required. If not currently a Texas resident, must obtain a Texas Driver's License within 90 days after entering Texas as a new resident. A satisfactory driving record is required for operating state or personal vehicles to conduct department business.
