Job Description

SUMMARY OF DUTIES AND RESPONSIBILITIES:

Under the general supervision of the Division Administrator of Ambulatory and Community Psychiatry or his/her designee and the daily supervision of the Assistant Coordinating Manager or his/her designee.

General Responsibilities include
  1. Provide clerical support to Department Medical Record Room including, but not limited, to, retrieving and filing of charts, faxing, delivering charts, and corresponding with other areas such as Hospital Medical Correspondence.
  2. Responsible for all functions related to electronic medical record tracking system, i.e.
    Epic, Paper Track, Iron Mountain Connect.
  3. Responsible for general patient phone screening for first appointment.
  4. Responsible for registration of walk-in patients.
  5. Manage and assign clinical staff according to availability for Hospital Follow up / Mobile
    Crisis / Initial Assessment Evaluations and Walk-ins patients
  6. Responsible for the scheduling of initial and follow up appointments, missed appointments and to cancel appointments as directed.
  7. Communicate with multi-disciplinary staff and patients and other divisions/departments as necessary using a customer service-oriented approach.
  8. Participate in performance improvement activities such as Patient Access, Cycle Time Survey and/or distribution /collection of patient surveys as requested.
  9. Ability to maintain clerical functions using downtime procedures.
  10. Responsible for answering the telephone, relaying messages and entering telephone encounters into Epic.
  11. Responsible for following all procedures using electronic scheduling system (i.e. Epic).
  12. Update and maintain Electronic Medical Records and clinic databases such as caseload list as required.
  13. Update and maintain High Risk Track/ Clinic database
  14. Caseload assignments in Epic/database


Minimum Qualifications
1. A high school diploma or its educational equivalent; and
2. Six (6) months of full-time satisfactory clerical experience and/or experience interacting with the public, such as processing sales; taking, processing, and delivering orders; obtaining and dispensing information; listening to and resolving customers concerns, problems, and complaints; and/or performing related customer service activities.
