Job Description

Purpose of Position:

To ensure the proper appointment scheduling of patients, accurate verification of patient demographic, and insurance verification for all outpatient encounters prior to the closure of the visit (The above statements reflect the general duties considered to describe the principle functions of the job as identified and shall not be considered as a detailed description of all the work requirements that may be inherent to the position.)

Duties and Responsibilities:
  • Provide efficient and courteous services when scheduling patient appointments, assist patients with biometric scanning (palm vein scanner), and the registration process in the EPIC system.
  • Complete patient preregistration in accordance with the criteria of the practice(s)
  • Ensures accurate patient insurance information is entered into the Epic Cadence system and verified according to Standard Work protocol.
  • Scanning Medical Information and forms into the EPIC system as required.
  • Collection of the daily clinic data as assigned.
  • Collect Co-pays as requested by the Health Insurance carrier.
  • Daily review and completion of EPIC work queues (Referral, E-Consult, Registration Error, and other work queues).
  • Assist other units or departments as requested.
  • Coordinate work assignments based on area workload as requested.
  • Serve as a mentor for new employees as requested.
  • Confirm scheduled appointments 2 to 5 days in advance.
  • Review the EPIC system to ensure compliance with checking patients in and out, mark no-shows, and advise the supervisor of any discrepancies
  • Reschedule patients as needed or assigned.
  • Attends Practice Operational and training meetings as requested.
  • Assist direct supervisor and Cancer Center leaders to develop and implement new initiatives if assigned.
  • Answers incoming telephone calls professionally and promptly (by the third ring), and performs faxing and scanning as needed.
  • Help patients and their families obtain medical or social services.
  • Maintain the referral process's efficiency and integrity while maintaining patient records' confidentiality.
  • Other duties as assigned


Minimum Qualifications
1. A high school diploma or its educational equivalent; and
2. Six (6) months of full-time satisfactory clerical experience and/or experience interacting with the public, such as processing sales; taking, processing, and delivering orders; obtaining and dispensing information; listening to and resolving customers concerns, problems, and complaints; and/or performing related customer service activities.
