Job Description

PURPOSE OF POSITION

Employees in this job coordinate office activities and perform secretarial assignments for professional or management staff in support of the on-going operations of the office.

AREAS OF RESPONSIBILITIES

Nursing Administration

SUMMARY OF DUTIES AND RESPONSIBILITIES
1. Demonstrate strong organizational skills.
2. Assembles maintains and secures all information in a confidential manner.
3. Assist in organizing and coordinating Unit operations and procedures(restraints logs,Unit reports and patient schedules)
4. Ensures deadlines are met in regards to projects/reports.
5. Answer telephone, take messages and direct calls to appropriate individuals.
6. Maintains scheduling and event calendars for DON
7. Compose, type and distribute meeting minutes and reports.
8. Coordinate and schedule rooms for departmental staff meetings
9. Set up and maintain paper and electronic filing systems.
10. Operate office equipment such as fax machines and copiers.
11. Prepares weekly timesheets for payroll processing for the Department.
12. Responsible for ordering office supplies.
13. Operate electronic mail systems.
14. Demonstrates capable writing skills.
15. Demonstrates the ability to maintain databases and create graphs.
16. Demonstrates professional demeanor at all times.
17. Demonstrates the ability to work independently and with others.
18. Input statistical data of weekly departmental variance report and monthly reports on departmental projects
19. Review and reconcile weekly overtime authorization forms for approval by CNO and CFO
20. Maintains staff productivity/sick calls for the Department and sends out 5 Days letters to staff keeping ADNs updated
21. Prepares evaluations packages and submit to HR for processing 22. Perform other related duties as required.

Minimum Qualifications
1. A Master's degree from an accredited college or university in Public Health, Public Administration, Business Administration, Social Work, Psychology or Rehabilitation Counseling; and
2. Two (2) years of full-time experience in medically-oriented health care and medical support systems environment, one (1) year of which included experience in an administrative or supervisory capacity in such occupations as physical, occupational, inhalation, speech and audiology therapy or as Medical/Laboratory Technologist, Microbiologist (various specialties), Chemist (biochemist), Radiation and X-Ray Technician; or two (2) years of responsible level experience in business management systems or general administration including one (1) year in a supervisory or administrative capacity; or
3. A Baccalaureate degree from an accredited college or university in disciplines listed in "1" above; and
4. Three (3) years of full-time experience, as described in "2" above, including two (2) years of experience in an administrative or supervisory capacity in occupations, as listed in "2" above; or
5. A satisfactory equivalent combination of education, training and/or experience.

Note: Certification or licensure may be required.
