Job Summary

The LSA Honors Program is seeking an Executive Assistant to provide energetic, complex administrative support to the Director of the LSA Honors Program as well as back-up support for other team members. This position requires strong administrative and project management skills, broad knowledge of organizational policies and procedures, and excellent interpersonal and communication skills. The professional in this position must be detail-oriented, able to multitask and prioritize, and demonstrate sound judgment and discretion.

The Executive Assistant will join a team of faculty, staff, and students in nurturing a culture of intellectual curiosity, integrity, and academic innovation and excellence for all of its members. In addition to providing complex administrative support for the Program Director(s), the person in this role will provide key support for major initiatives, processes, and projects as well as excellent student and customer service in a front-desk capacity.

This is a 19-month, term-limited position.
This is a hybrid position, requiring a minimum of four days of work on-site in Ann Arbor, Michigan.

Responsibilities*

Provide complex administrative support to the LSA Honors Program in the following ways:
  • Manage appointment calendars and schedule meetings. Coordinate meetings and events: reserve rooms, arrange technological support as necessary, coordinate attendance, prepare agenda and action items, prepare materials, and track/follow-up on actions.
  • Provide logistical support for a range of meetings and events for a wide variety of constituents: students, alumni, prospective donors, faculty, and staff. Coordinate, with full or shared responsibility, single events or event series,of varying scope; LSA departmental Honors Coordinators' meetings; and alumni- and development-related meetings and events.
  • Assist in launching departmental initiatives and assessing outcomes.
  • Draft correspondence and documents, with directors' guidance and using independent judgment as appropriate.
  • Coordinate travel plans and expense reconciliation. Work with Shared Services Center to ensure expenses are submitted and processed accurately and on a timely basis per policy.
  • Order supplies and process payments to vendors and individuals.
  • Work closely with staff and student employees to ensure continuous coverage of the reception desk to assist guests and walk-in visitors. Provide information, directions, and answers to inquiries, make referrals, and respond to concerns from students, faculty, staff, and others.
  • Develop and maintain records-keeping practices in accordance with university policies. Draft, file, scan, and track documents relative to specific audiences, events, and processes; coordinate with faculty, staff, and students within the Honors Program and across multiple units to support records management.
  • Other duties as assigned.

Required Qualifications*
  • Bachelor's degree, or an equivalent combination of high school education (or equivalent) and 4 years of experience
  • Excellent writing, verbal, and interpersonal skills
  • Demonstrated ability and track record to exercise initiative, independent judgment, discretion, and diplomacy
  • Good problem-solving skills and commitment to life-long learning
  • Ability to work under pressure, prioritizing and handling various tasks and deadlines simultaneously
  • Experience with Microsoft Word and Excel, Google collaborative software, Canvas, Qualtrics, multi-line phone systems
  • Enthusiasm for working as part of a whole-office team
  • Excellent customer and student service skills

Desired Qualifications*
  • Administrative support experience in a University of Michigan department or program
  • Experience supporting programs specific to undergraduate academic and co-curricular education
  • Advanced knowledge of and demonstrated proficiency in Google Drive (documents, spreadsheets, forms) and other collaborative and/or project management tools
  • Advanced knowledge of and demonstrated proficiency with M-Pathways Financial and Student Administration, and Procurement and Expense Reconciliation processes
  • Experience writing reports, analyzing, and visualizing data
