Summary

The Department of Neurology at Baylor College of Medicine is seeking a highly motivated Senior Coordinator, Business Operations. This role will perform daily business coordination, faculty affairs support, and special projects for the Department. The ideal candidate will be able to leverage previous experience to implement new and updated processes to support operations.

The Department of Neurology at Baylor College of Medicine provides personalized care for patients with neurological disease, trains medical students and residents in clinical care and research, conducts research to advance the art and science of neurology, and provides meaningful new therapies for patients.

Job Duties

60% Department Coordination Support
• Coordinates the day-to-day business operations for the department.
• Prepare and maintain support documents for leadership and faculty, as needed.
• Schedule and organize appointments, conferences, and meetings for the department.
• Arrange travel and submit requests in Concur for Faculty and Department leadership.
• Submit expenses for reimbursement via the Concur travel management tool.
• Cross train and serve as a back-up for procurement requests within the Department.

30% Faculty Affairs
• Performs and oversees the faculty appointment process including Faculty Employment Agreements (FEA), paperwork submission, redacting the FEAs, and approval management.
• Supports the Faculty Appointment and Promotions (FAP) Committee for the Department. Collaborates with Chair and Vice Chair of FAP to ensure Neurology faculty members have the correct documentation for the BCM FAP process.
• Prepares and submits postdoctoral appointments for research.

10% Special Projects
• Coordinate staff meetings, events, and special events including room reservation, catering, and A/V.
• Support employee engagement and appreciation activities including events, activities, and programming.
• Assists the Senior Business Operations Manager with Special Projects.
• May provide additional support to faculty, as needed.
• Performs other job-related duties as assigned.

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.

• Strong written and verbal communication skills.
• Demonstrated experience in operations or department coordination.
• Ability to display a professional and positive attitude.
• Ability to work independently and collaboratively across the Department.
• Detail-oriented, self-motivated, efficient, and strong organizational skills.
