General Information:

Support the PR/Marketing Specialist in the organization, facilitation, and execution of events at the Edith J. Carrier Arboretum.

Duties and Responsibilities:

1) Work as part of events team
2) Manage reservation requests and event registration forms (create, monitor, and update)
3) Send out professional confirmation and reminder emails for upcoming events
4) Update Pavilion reservations display regularly
5) Distribute marketing materials on and off campus at designated locations
6) Maintain Arboretum kiosks (Restock dog bags and refill with English and Spanish maps as needed; Check suggestion/comment boxes and refill with scrap paper and writing utensils; Remove trash, debris, or cobwebs from the kiosks; Replace old, outdated flyers with upcoming events or informational posters)
6) Support weekend and evening events at the Arboretum (this may be educational programs, weddings, or other facility rentals)
7) Support events and Arboretum functions as needed (i.e. taking photos, speaking to guests, running credit card transactions, setting up/breaking down tables and chairs, etc.).
7) Assist in Arboretum annual and semi-annual events such as plant sales (late April-early May; late Sept-October); wine & cheese event (fall and spring); and Harvest Fest (a Saturday in October)
8) Possible assignment to help facilitate our small art gallery.
9) Possible assignments to track down resources and build Arboretum connections across JMU.
10) Possible assignment to help improve our small gift shop and merchandise.

Qualifications:

*Some weekend and evening availability to support various events and programs required. (Weeks where the event assistant supports a weekend/evening activity they would not do as much in the office during the week).

*Successful candidate must be able to pass background check for running credit card transactions.

*Successful candidates will be self-starters, responsive communicators, able to follow directions, and follow-through tasks to completion.

Additional Posting Information:

Flexible scheduling of 6-15 hours/week (office hours are between 9 and 4, preferably on at least 2 different weekdays); additional weekend or evening availability as needed.

Conditions of Employment:

Students must be degree-seeking students, enrolled on at least a half-time basis (6 credits for undergraduate and 5 credits for graduate).

Students must have a 2.0 or better cumulative GPA.
