Job Description

PURPOSE OF POSITION:

Effectively and efficiently perform registration and other clerical functions; coupled with providing exceptional customer service to sustain our Person Center goals.

AREAS OF RESPONSIBILITIES:

Pediatric Practice (at times a floater to work in the OBGYN Practice as needed)

SUMMARY OF DUTIES AND RESPONSIBILITIES:
• Continuously work with all Woodhull staff members and its external affiliates to provide outstanding customer service.
• Meets and greets patients presenting to the Practice, and identifies appointment in Epic
• Prior to opening both new and re-visits in the EPIC-CADENCE, verifies demographic and insurance information and PCP assignment by using Check 15 method
• Checks for Medicaid restrictions if patient is covered by Medicaid.
• Determines the appropriate PCP for each patient based on the most common treating provider, Managed Care PCP assignment, or the patient's preference.
• Ensures the PCP assigned matches the PCP assignment contained in Epic.
• Refers non-insured, new, and out-of-network patients to the Financial Counselor and directs patients to Cashier in order to make co-payments as indicated.
• Initiates patient encounter form and Nurse Triage Assessment form for all walk-in patients.
• Provides patients and families with the New Registration form, consent forms for signature, as well as information on Advance Directives and Patients' Rights.
• Issues Demographic label and explains to new patients the use of their unique medical record number.

Registration of patient utilizing Epic- Cadence System
• Maintains daily contact with nursing and other professional personnel within assigned Practice setting to ensure an accurate and updated Daily Appointment Report (DAR) and supplies.
• Answers telephones, and if Provider or RN is not available to answer phone, completes the message form and hands it to an RN to assess.
• Schedules primary care and specialty appointments.
• Makes daily reminder calls to scheduled patients, reminding them to bring their medication bottles, and EPIC-CANDENCE.
• Reviews the provider instructions to patients to determine the time frame for a revisit and the assigned PCP.
• Follows the no-show processing procedure and documents in the EMR.
• Forwards correspondence to patients, e.g.: abnormal test results recall as directed by clinical staff.
• Collects and prepares loose papers generated by patients' visits for charting/scanning by the end of the day.
• Maintain integrity of PHI.
• Prepares daily statistical reports.
• Initiates telephone call to appropriate department to report broken or malfunctioning equipment.
• Participates in daily care-team huddles and debriefings.
• Escalates patient complaints to immediate supervisor or practice administrator.
• Participates in staff meetings and trainings.
• Assists in the orientation and training of all new clerical personnel.
• Participates in performance improvement and Breakthrough activities in the department.

* Vital member of the Patient Center Medical Home (PCMH) model.
• Work harmoniously with staff to effectively coordinate registration and other clerical functions.

* Evening clinic and Weekend hours.

* Perform other related duties assigned by the Coordinating Manager.

Minimum Qualifications
1. A high school diploma or its educational equivalent; and
2. Six (6) months of full-time satisfactory clerical experience and/or experience interacting with the public, such as processing sales; taking, processing, and delivering orders; obtaining and dispensing information; listening to and resolving customers concerns, problems, and complaints; and/or performing related customer service activities.
