Position Description

Construction Recordkeeper II

Maintains construction project records and processes related paperwork; reviews and modifies contract documents to reflect changes to original agreement; monitors records to verify compliance with state and federal laws and determines payments due contractor for work completed. Work requires contact with contractors. Employees at this level perform work independently on assignments; however, all unusual issues are referred to the supervisor.

Construction Recordkeeper III

Maintains construction project records and processes related paperwork; reviews and modifies contract documents to reflect changes to original agreement; monitors records to verify compliance with state and federal laws and determines payments due contractor for work completed. Work requires contact with the public. Employees at this level perform work independently on assignments; however, all unusual issues are referred to the supervisor.

Construction Recordkeeper IV

Maintains construction project records and processes related paperwork; reviews and modifies contract documents to reflect changes to original agreement; monitors records to verify compliance with state and federal laws; determines payments due contractor for work completed; maintains liaison with construction inspectors and contractor's staff and trains others. Work requires contact with the public. Employees at this level perform work independently on assignments; however, all unusual issues are referred to the supervisor.

Essential Duties:

Construction Recordkeeper II

  • May attend pre-construction meetings to instruct contractor's bookkeeper on record-keeping procedures.
  • Monitors contractors' compliance with federal requirements related to Equal Employment Opportunity and wages.
  • Monitors on-the-job training program and Disadvantaged Business Enterprise and Small Business Enterprise programs; submits required monthly reports.
  • Prepares and submits monthly and final estimates; checks calculations against work log and estimate form to verify work is completed before payment is made.
  • Prepares and types correspondence, reports and supporting documents; files, orders supplies and equipment.
  • Sets up field record books for each construction project within assigned area.
  • Performs other job responsibilities as assigned.


Construction Recordkeeper III

Includes all essential duties for Construction Recordkeeper II as well as:

  • Performs other job responsibilities as assigned.


Construction Recordkeeper IV

Includes all essential duties for Construction Recordkeeper II and III as well as:

  • Attends pre-construction meeting to instruct contractor's bookkeeper on record-keeping procedures.
  • Composes correspondence, reports and supporting documents; files; orders supplies and equipment.
  • Maintains liaison with construction inspectors and contractor's staff to ensure project records accurately reflect changes and agreements.
  • Trains less experienced employees.
  • Performs other job responsibilities as assigned.


Minimum Qualifications:

Construction Recordkeeper II

Education: High School Grad or Equivalent in general education.

Experience: 1 year record-keeping, bookkeeping, or other related experience. (Experience can be satisfied by fulltime or prorated parttime equivalent). Related college education or relevant technical training may be substituted for experience on a year per year basis . Substitutions for Minimum Qualifications

Licenses and Certifications: Valid driver's license. This position requires driving a state vehicle.

Construction Recordkeeper III

Education: High School Grad or Equivalent in general education.

Experience: 2 years record-keeping, bookkeeping, or other related experience. (Experience can be satisfied by fulltime or prorated parttime equivalent). Related college education or relevant technical training may be substituted for experience on a year per year basis . Substitutions for Minimum Qualifications

Licenses and Certifications: Valid driver's license. This position requires driving a state vehicle.

Construction Recordkeeper IV

Education: High School Grad or Equivalent in general education.

Experience: 4 years record-keeping, bookkeeping, or other related experience. (Experience can be satisfied by fulltime or prorated parttime equivalent). Related college education or relevant technical training may be substituted for experience on a year per year basis . Substitutions for Minimum Qualifications

Licenses and Certifications: Valid driver's license. This position requires driving a state vehicle.

  • Considerable knowledge of:
    • Higher mathematics
    • Governmental policies and procedures

  • Proficient skill in:
    • Performing calculations using algebra, trigonometry and geometry
    • Using standard office equipment

Construction Recordkeeper III

Includes all competencies for Construction Recordkeeper II and III as well as:

    • Governmental policies and procedures

    • Leading, assigning, reviewing, and monitoring the work of others


Physical Requirements and Working Conditions:

Construction Recordkeeper II, III, and IV

  • Sedentary work: Lift up to 10 lbs. at a time and occasionally carry files/small tools
  • Repetitive Motion - substantial movements of the wrists, hands, and fingers
  • Close Visual Acuity - work includes data/figures; view a computer screen; extensive reading
