Job Description

Provides assistance in the administration and supervision of activities within the Outpatient Psychiatry Clinic. Assist Administrator and Coordinating Manager A in ensuring that all policies and procedures are met and implemented appropriately. Plans, controls, and coordinates administrative and office operations.

Responsibilities:
• Provides administrative support to Division Administrator and Coordinating Manager B.
• Supervise and evaluate Clerical staff including quarterly performance improvement reviews.
• Coordinate with Inpatient Unites to arrange scheduling of Aftercare appointments (including requesting insurance verification).
• Manage and maintain data for the Aftercare Community intakes (including Aftercare and Intake Log)
• Prepare monthly reports for Community Intakes.
• Report Aftercare No-shows to Clinical Leadership by 12 noon daily when applicable.
• Monitor department's Detail Appointment Log and ensure patients are checked out and follow-up appointments scheduled.
• Monitor Adult BH Referral Work queue and schedule appointment as directed by Clinical Leadership document outcomes in EPIC.
• Collaborate with clinicians to obtain medication pre-authorization for patients in OPC.
• Submit purchase orders through Procurement System for supplies, equipment, etc and follow-up.
• Monitor supplies in OPC and order as needed through Procurement System.
• Conduct Environmental Rounds (including Adopt-A-Floor during surveys), report deficiencies and submit tickets to 1Fix and track completions on log in shared folder.
• Respond to all email request by close of business.
• Perform other duties as needed.

Minimum Qualifications
1. A Baccalaureate Degree from an accredited college or university in Business Administration, Community Health, Psychology or related discipline with one year of full-time experience in a supervisory or administrative capacity in business management systems, general administration, health care and medical/patient systems administration; or,
2. A satisfactory combination of education, training and experience.
