Job Description

Purpose of Position:

This class of positions encompasses clerical and data analysis related office activities utilizing manual and automated office systems for the Infection Prevention Department. The Assistant Coordinating Manager (ACM) is an integral member of the Nursing Professional Development team. The ACM supports the education department processes to ensure the attainment of the organizational mission, vision, and implementation of the organizational strategic plan.

The ACM supports the education team by ensuring the smooth onboarding of staff and affiliates. Manages office processes and ensures that training environments are prepared and ready for staff training at all times. In collaboration with team members, maintains professional workspace with required equipment/supplies ready and available for training purposes.

Assignment

Under supervision, with latitude for independent judgment, performs supervisory and/or moderately

difficult clerical and analysis duties.

Examples of Typical Tasks:
  1. Aggregates and perform data analysis of infection control data (Hospital acquired infections, communicable diseases)
  2. Assists in preparing meeting presentations, which includes updating PowerPoint presentations and Excel line lists and charts.
  3. Systematically maintains Joint Commission readiness documents
  4. Acquires required signatures for paperwork (e.g., policies, minutes)
  5. Aggregates, inventories alerts, and advisories from LHD and regulatory agencies
  6. Assists in overall document departmental organization
  7. Check and manage messages for the department voicemail
  8. Check the daily work calendar and ensure coverage of all meetings
  9. Prepare meeting handouts for the Director
  10. Transcribes data into a shared drive
  11. Report out at Huddle as per assignment
  12. Email routine reports as assigned
  13. Manage phones, messages, and appointment scheduling
  14. Communicates weekly and monthly reports to leadership
  15. Complies reports from various departments for the Infection Control Committee Meeting
  16. Sends reminders (written/ oral) to the respective units and leadership group regarding scheduled classes
  17. Prepares A-V equipment and materials for infection control activities
  18. Schedule and set up venues (classroom, conference room, or auditorium)
  19. Posts/disseminates departmental information, flyers, and updates
  20. Maintains infection control files (rounds) and generates correspondence and follows up in related issues
  21. Pick up and distributes mail
  22. Carries out typing activities as needed
  23. Transcribes and maintains required Infection Prevention and Control including meeting minutes, agendas, and attendance sheets.
  24. Inventories, orders, and maintains adequate office supplies for the department
  25. Other assigned duties as needed


Minimum Qualifications
1. A Baccalaureate Degree from an accredited college or university in Business Administration, Community Health, Psychology or related discipline with one year of full-time experience in a supervisory or administrative capacity in business management systems, general administration, health care and medical/patient systems administration; or,
2. A satisfactory combination of education, training and experience.
