Job Description

PURPOSE OF POSITION

This class of positions encompasses supervisory or administrative work of varying degrees of difficulty and with varying degrees of latitude for independent initiative and judgment as follows:
For planning, controlling, coordinating, administrative and office operations and interpreting compliance with predetermined standards for quality care in a variety of organizational settlings and modalities in the delivery of business, office and management support systems. Integrates, coordinates these programs, operations, functions and services with other hospitals and Central Office sectors to optimal levels of performance in the administration and supervision of such functional activities.

AREAS OF RESPONSIBILITY
Under general supervision with moderate latitude for independent initiative and judgment, performs some of the following functions:
1. Plans, develops and may conduct training programs to maintain proficiency
of staff and use of equipment and methods.
2. Allocates staff on basis of workload, space and available equipment.
3. Participates in budgetary planning, reviews operating costs, performs cost studies and prepares department budgets every fiscal year.
4. Supervise studies related to the service/program and analyzes modifications and development of systems and procedures to improve departmental operations. Makes recommendations and implements.
5. Assist with the process of orders for requisitioning of equipment,
appliances and the medical supplies for patients.
6. Ensures that compliance manuals are current and that policies and procedures are followed.
7. May represent the Department Administrator in external contracts with community groups, organizations and agencies.

SUMMARY OF DUTIES AND RESPONSIBILITIES
1. Provide administrative support for facilities management, plant maintenance/engineering, safety & security, and shared support services.
2. Reserve conference rooms, training room(s) and auditorium as needed.
3. Assists with WebEx audio and visual set up when needed for facilities management, plant maintenance/engineering, safety & security, and shared support services.
4. Assist with facility support services, receiving, central supplies, coordination with uniform vendor.
5. Assist with making sure all of plant maintenance/engineering, safety & security, and shared support services completes Human Resources ELM Trainings, Annual OHS on a timely manner.
6. Assist with managing work order tickets from Maintenance Connection system on a daily basis as well as generating monthly reports for the department head to report completed work orders.
8. Answer all of calls for facility emergencies and complaints and to communicate to the proper area to resolve problems on a daily basis. Monitor facilities work tickets for skilled trades, assign as needed.
9. Create and maintaining spread sheet on approved time and leave for Facility Management, Engineering, Mail Room, Transportation and Fire & Safety Management by ensuring all areas have staff coverage.
10. Assist in executing contract projects, special projects and vendors services.
11. Assisting in the preparation of the DOH, Environment of Care Program, testing and monitoring reports generated for the facility.
12. Organizes and maintains department's filing system, answer and respond to inquiries on behalf of facilities management, plant maintenance/engineering, safety & security, and shared support services.
13. Assist with scheduling and attend EOC meetings by taking attendance and minutes on a quarterly basis.
14. Assemble presentations, compile weekly reports and contribute to day to day maintenance with the facilities management, plant maintenance/engineering, safety & security, and shared support services.
15. Assisted with the coordination of employee performance appraisals and maintained employee database for employee performance appraisals and mandated in-services.
16. Coordinates for outside phone technician and Lock Smith to come and resolve
all phone issues for the facility
17. Consistently and efficiently completed all projects using necessary software including reports, invoices, memos, letters, org charts, floor plans, graphics, presentations, and other documents.
18. Accumulates data for budget preparations, fiscal reports, and review of budget
for facilities management, plant maintenance/engineering, safety & security,
and shared support services.

Minimum Qualifications
1. A Baccalaureate Degree from an accredited college or university in Business Administration, Community Health, Psychology or related discipline with one year of full-time experience in a supervisory or administrative capacity in business management systems, general administration, health care and medical/patient systems administration; or,
2. A satisfactory combination of education, training and experience.
