Job Description

Under the direction of the Trauma Program Manager, the Trauma Registrar abstracts required state and national trauma registry elements and enters them into the trauma database on all patients meeting state of national inclusion criteria. The Trauma Registrar is part of a team responsible for maintaining the efficient and accurate operation of the Trauma Registry for use in national benchmarking, performance improvement, injury prevention, and trauma research.

Key responsibilities:
  • Provides high-quality data entry by abstracting required demographic, injury mechanism, diagnosis, procedure, and outcome information form the patient chart into the trauma registry database in real-time retrospectively.
  • Ensures compliance with the New York State (NYS) Department of Health, National Trauma Data Standards (NTDS), and Trauma Quality Improvement Program (TQIP) regulatory requirements; reviews and exports all reportable cases to the NYS Trauma Registry, NTDS, and TQIP according to Data Submission Schedule.
  • Identifies trauma patients and inputs all required data points (per NTDS and TQIP Data Elements) into the Trauma Registry; maintains exclusion report for NYS to be submitted quarterly.
  • Ensures that 80% of such trauma cases are entered into the Trauma Registry within 60 days of patient discharge.
  • Ensures the consistency and quality of the data collection by performing ongoing data validation using multiple methods and approaches, escalates discrepancies and/or inquiries to the Certified Trauma Registrar.
  • Builds and runs reports for the purposes of trauma research, injury prevention, performance improvement and patient safety.
  • Provides reports for the Trauma Peer Review Committee (TPRC), Trauma Program Operational Committee (TPOC), and other meetings as requested.
  • Assist the Trauma Medical Director, Trauma Program Manager, and other staff members in projects assigned regarding registry and data elements.
  • Appropriately interacts with medical Records, Information Technology and acts as liaison with trauma software vendor.
  • Assist in maintaining the technical needs of the Trauma Registry.
  • Assist in data mapping and weekly uploading of data via the Registry Import Module (RIM).
  • Identifies and utilizes the principles for various scaling and scoring tools such as ICD-10-CM, Abbreviated Injury Scale, and Injury Severity Score. Escalates discrepancies and/or inquires to the Certified Trauma Registrar.
  • Review, corrects and validates Trauma Registry reports prior to submission to TQIP, NTDS and NYS.
  • Supports in activities related to the Trauma Registry during ACS-COT verification site visit.
  • And other requested activities of the Trauma Program.


Minimum Qualifications
1. A Master's degree from an accredited college or university in Public Health, Public Administration, Business Administration, Social Work, Psychology or Rehabilitation Counseling; and
2. Two (2) years of full-time experience in medically-oriented health care and medical support systems environment, one (1) year of which included experience in an administrative or supervisory capacity in such occupations as physical, occupational, inhalation, speech and audiology therapy or as Medical/Laboratory Technologist, Microbiologist (various specialties), Chemist (biochemist), Radiation and X-Ray Technician; or two (2) years of responsible level experience in business management systems or general administration including one (1) year in a supervisory or administrative capacity; or
3. A Baccalaureate degree from an accredited college or university in disciplines listed in "1" above; and
4. Three (3) years of full-time experience, as described in "2" above, including two (2) years of experience in an administrative or supervisory capacity in occupations, as listed in "2" above; or
5. A satisfactory equivalent combination of education, training and/or experience.
